Instructions on Hiring New Employees

Message from HR and Payroll

When hiring a new employee in your department, it is imperative that the employee visits Human Resources and completes the office’s new-hire paperwork before he/she starts working. In addition, appointment notices are to be submitted to Human Resources before an employee can be placed on the payroll for payment.

Following these procedures will give Human Resources and Payroll ample time to conduct a state search to see if the new employee is currently active at another state agency, to determine if they are dual employed or working extra service. If the employee is actively working at another state agency, that agency will be considered their primary agency and Farmingdale will be their secondary agency.

Any new or rehired employee who is working in more than one state agency will be sent a letter and form 1588. This form will need to be completed by and signed by the primary agency. The Farmingdale supervisor will be copied on the letter and should follow-up with the employee to be sure that the form 1588 was returned so the employee will be paid in a timely manner. Please note that any delay in returning the completed form to Human Resources will delay payment to the employee.
